Adoption, Surrogacy and Infertility Treatment Assistance

Effective January 1, 2022, the Company will begin offering grants for adoption, surrogacy and infertility treatment through the Heart Travels Assistance Program at hcvhearttravels.com. These grants will be used to help cover expenses associated with adopting a child 18 years or younger, using a surrogate to assist in carrying and giving birth to a child, or receiving infertility treatment that is not covered under a medical plan.
How it Works
All regular full-time and part-time active team members can apply for a grant of up to $2,500 through the Heart Travels Assistance Program. If both parents and/or domestic partners who are legally married are team members of the Company, only one grant will be issued per child. You must be an active team member at the time the adoption is legally finalized, the surrogate gives birth or medical claims are submitted for infertility treatment to receive reimbursement from the Program.
The calendar year grant maximum per infertility treatment is up to $2,500. The lifetime grant maximum per adoption and surrogacy birth is up to $2,500.
When to Apply
Adoption: You will be eligible to apply for a grant starting the day the adoption has been legally finalized, but no later than one year after the adoption. You will need to submit a legal adoption form as part of the application process.
Surrogacy: You will be eligible to apply for a grant starting the day the child is born, but no later than one year after the birth. You will need to submit a legal surrogacy contract and a birth certificate, or a letter from an agency or lawyer indicating the child has been placed in the home.
Infertility Treatment: You will be eligible to apply for a grant when the infertility treatment begins. You will need to submit documentation of an out-of-pocket medical bill that includes a description and date of service.
Additional Program Details
Please keep in mind the additional details and guidelines listed below:
- If you are receiving an adoption credit from another organization, you are not eligible for this grant, as it could jeopardize your credit status.
- Grants will not be offered for both adoption and surrogacy for the same child.
- Adoption grants are not eligible for a stepparent legally adopting a stepchild.
- Applicable taxes will be withheld, and payments made will be reported on your W-2.
- Reimbursements are generally paid within one to two pay periods of the approved reimbursement request through payroll.
401k Distribution for Birth/Adoption
Team members with a Company 401(k) plan have the option to withdrawal up to $5,000 per parent within the first year of a birth or adoption of a child. This in-service distribution is exempt from any early withdrawal penalties. For more information contact T.Rowe Price at (800) 922-9945.
